By using the Services you agree to this policy. If you do not agree, please do not use the Services.

1. Who this policy covers

This policy covers visitors to our website, people who submit a form or enquiry, and users of the application. Most of our users are chartered accountants, audit firms and their staff ("Users"). Users often upload data about their own clients ("Client Data"). For Client Data, the User is the data fiduciary or controller and we act as a processor that handles it only on the User's instructions.

2. Information we collect

  1. Details you give us: name, mobile number, email address, firm name, designation, and any message you send through the contact form, the Try for free form, email, phone or WhatsApp.
  2. Account details: login credentials (passwords are stored in hashed form), team members you add, and your plan and billing history.
  3. Client Data: trial balances, ledgers, vouchers, financial statements, TDS and tax data, and files you upload or sync from Tally or other sources. We do not ask for this data until you choose to use the application.
  4. Technical data: IP address, device and browser type, operating system, pages viewed, referring page, date and time of access, and error logs.
  5. Cookies and similar tools: small files that keep you signed in, remember preferences and measure how the site is used (see section 8).
  6. Payment data: payments are handled by third-party payment processors. We do not store full card, UPI PIN or net banking credentials.

We do not knowingly collect information from anyone under 18, and the Services are meant for business use by adults.

3. How we use information

  • To create and manage your account, and to provide, maintain and improve the Services.
  • To process Client Data and produce the outputs you request, such as Schedule III statements and TDS analysis.
  • To respond to enquiries, call or message you about your trial or account, and send service notices.
  • To send product updates and offers. You can opt out at any time.
  • To detect, prevent and investigate fraud, abuse, security incidents and breaches of our Terms.
  • To meet legal, tax, accounting and regulatory obligations and to enforce or defend legal claims.
  • To produce aggregated or anonymised statistics that do not identify you or your clients.

4. Legal basis and consent

We process personal data on the basis of your consent, to perform our agreement with you, for legitimate uses permitted by law, and to comply with law. When you submit a form on our website you consent to us contacting you by phone, SMS, WhatsApp and email about Auditmann, even if your number is on a Do Not Disturb register. You can withdraw consent at any time as described in section 10.

5. Client Data: your responsibilities

You confirm that you have the right and any required consent or authority to upload Client Data and to have us process it. You are solely responsible for the accuracy, legality and confidentiality obligations that apply to the data you provide, including duties owed to your own clients under the Chartered Accountants Act, 1949 and the ICAI Code of Ethics. We do not review Client Data for accuracy or legality, we do not sell it, and we do not use it to market to you or to third parties. We may use it only to provide the Services, to fix problems, to keep the Services secure, and as the law requires.

6. Who we share information with

We share information only as follows:

  • Service providers who help us run the Services, such as cloud hosting, databases, email and SMS delivery, analytics, customer support, error monitoring and payment processing. They may use the data only for our purposes and under confidentiality obligations.
  • Professional advisers such as lawyers, auditors and insurers, under confidentiality.
  • Authorities, when we believe in good faith that disclosure is required by law, court order or a lawful government request, or is needed to protect rights, safety or property.
  • Business transfers, if we merge, are acquired or sell assets. The new owner must honour this policy.
  • With your direction, for example when you ask us to connect an integration.

We do not sell your personal data.

7. Where data is stored and transferred

Data is stored on servers located in [India, hosting provider and region to be confirmed]. Some service providers may process data outside India. Where that happens we rely on contractual protections and on transfers the law permits.

8. Cookies and analytics

We use essential cookies to keep you signed in and secure, and may use analytics cookies to understand how the site is used. You can block or delete cookies in your browser settings, but parts of the Services may stop working. We do not use cookies to show third party advertising.

9. Security and retention

We use reasonable security practices and procedures suited to our business, including encryption in transit, access controls and regular backups. No system is completely secure, and we cannot guarantee that information will never be accessed, lost or disclosed by unauthorised parties. You are responsible for keeping your login details confidential and for the security of your own devices and networks. If a personal data breach affects you, we will notify you and the authorities as the law requires.

We keep personal data while your account is active and for as long afterwards as needed for the purposes in this policy and for legal, tax and dispute purposes. After your account ends, we delete or anonymise Client Data within [90] days, except for copies held in backups until they roll off and records we must keep by law.

10. Your rights and how to use them

Under the Digital Personal Data Protection Act, 2023 you may ask to access a summary of the personal data we hold about you, correct or update it, erase it, withdraw consent, nominate another person to exercise your rights if you die or become incapable, and raise a grievance. Email support@auditmann.com from the address on your account. We may need to verify your identity first and will respond within the time the law allows. Erasing data or withdrawing consent may mean we can no longer provide the Services, and we may keep data that the law requires us to retain.

For Client Data, requests from your own clients must be directed to you as the data fiduciary. We will help you respond where reasonably possible.

11. Third party links

The Services may link to or connect with third party sites and tools (for example Tally or WhatsApp). We do not control them and are not responsible for their privacy practices or content. Please read their policies.

12. Limitation of responsibility

To the fullest extent permitted by law, Auditmann is not liable for any loss or damage arising from unauthorised access to or disclosure of information caused by events beyond our reasonable control, including your own failure to protect your credentials, actions of third parties, or failures of third party systems. Our overall liability relating to this policy is subject to the limits in our Terms and Conditions.

13. Changes to this policy

We may update this policy from time to time. We will post the new version with a new effective date, and for material changes we will give notice on the site or by email. Continued use of the Services after the change means you accept it.
